When you create the following year, you duplicate the floor plan from the previous one. The booth spaces are taken over as available areas and can be adjusted in price, size and position until they are attached to the rebooking offer for the returning exhibitor.

Rebooking offers: pre-filled from existing data

For each returning exhibitor, you create a rebooking offer linked to their booth from the previous year. Contact people, main contact, company data and billing address are pre-filled from existing data. Before sending, you edit the offers freely: add discounts, assign a different booth, define optional add-on items and flat fees. Terms and privacy policy are included, and the signature field can be switched on or off per form.

Booking: on site at the show or online in the portal

Exhibitors see all offers assigned to them in the exhibitor portal or the rebooking portal. Access works via a one-time code sent to the email address on file or through a personalized link, and every signature is logged with IP address and the email used. In the rebooking offer, exhibitors take over the data from the previous year or adjust it, for example a different billing address, and review the items. The booking is completed either on site at the show together with your sales team, verified via one-time code, or independently online in the portal.

When an exhibitor submits their booking, they automatically receive a confirmation of receipt by email with an overview of all items in their booking request. In addition, organizers can embed a live floor plan, online or on a screen on site at the show. As soon as an exhibitor has signed their rebooking offer, their logo appears on the floor plan.
